# Setting up Aconex

## Setting up Aconex

> Your packages, RFIs and formal correspondence live in Aconex. Your schedule lives in Nodes & Links. When a subcontractor’s RFI or a client’s change request lands in Aconex, the people managing the programme should know about it, not find out when the dates have already moved.
>
> Connecting Aconex closes that gap. Once set up, the right documents from your Aconex projects flow into Nodes & Links automatically, appear next to the schedule they can impact, and become something your team, and the AI, can actually work with.

## Who this is for

Workspace admins. You set this up **once** for your whole organisation, after that, project members see their Aconex documents automatically, with nothing to connect on their side.

**What you’ll need:**

- Org Admin access to the Construction and Engineering Lobby (where your Aconex users are managed)
- Admin access to Nodes & Links

## How Aconex access works (read this first)

Unlike other platforms, Aconex ties access to the **user account** that connects, not to the organisation. Whoever logs in determines what Nodes & Links can see.

So the setup is: **your own admin creates a dedicated Aconex user for Nodes & Links**, and gives that user access to exactly the projects you want ingested.

Why this way:

- **You stay in control.** The dedicated user sees only what your admin grants, Nodes & Links can never surface anything beyond it.
- **It’s one-time.** Set it up once, and the whole workspace benefits.

## Step 1: Create a dedicated Aconex user for Nodes & Links

One-time, done in the Construction and Engineering Lobby by an Org Admin:

1. Open the hamburger menu and go to **Organizations**.
2. ![](https://cdn-assets.productfruits.com/a9a3b088-f155-46c4-a041-96b122b099c1)Find your organization and click **View Users**.
3. ![](https://cdn-assets.productfruits.com/70434ae2-53b4-496e-a858-4d224576151c)Click **+** to add a new user, and pick the **Aconex** account type. Name it for the integration rather than a person, so it’s clear it isn’t anyone’s personal login. Note the account’s **username** and **password**.
4. ![](https://cdn-assets.productfruits.com/be03e3a6-e34a-49b2-bb10-7bf582cd01b9)In the Account Setup wizard, on the **Projects** step, select **only** the projects you want Nodes & Links to ingest, then complete the wizard.

## Step 2: Connect Aconex in Nodes & Links

1. In Nodes&Links, go to the Admin Portal then **Signals** and click the **Aconex** tile. Then "**Connect with Aconex**"
2. In the Aconex drawer, find the "Instance" dropdown and select your instance![](https://cdn-assets.productfruits.com/f83ca557-d45f-4bae-b025-b7a296797ee3)
3. Complete the Aconex authentication: log in with the dedicated account you just created.
4. ![](https://cdn-assets.productfruits.com/691bda3d-5490-4734-9617-3904cab69722)Once authenticated, the connection is confirmed and saved.

## Step 3: Map your Aconex projects to Nodes & Links projects

This decides *where* your Aconex documents show up.

1. In the Aconex drawer, find the project mapping section.
2. For each Nodes & Links project, pick the Aconex project it corresponds to. We suggest matches by name, confirm the right one or pick another.
3. Repeat for every project you want covered.

> 💡 The moment you map a project, its documents start flowing in, no need to wait or refresh anything.

## You are ready to go!

Your Aconex documents now appear on each mapped project’s Signals page, refreshed automatically every day. Nodes & Links reads the relevant correspondence and register items and presents them as the RFIs and Change Orders your schedulers expect, and your project members did nothing at all.

Don’t hesitate to get in touch if you have any further queries!
